1. Fax Operator - Jakarta
Remuneration
  • Successful candidate will be offered the post with a probation period of six months and monthly salary commensurate with his/her personal qualifications.
Duties and Responsibilities
  • Input data to the data filing system
    • Input all incoming and outgoing documents to the data filing system
    • Maintain filing and recording of any incoming and outgoing fax including distribution to the relevant officers.
    • Follow‐up email from ASEAN Member States.
  • Operate the fax machine
    • Operate fax machine to send and receive fax
    • Make copy and attach the report of outgoing document to the concerned Division
    • Follow‐up the incomplete incoming and outgoing fax documents.
  • Coordinate incoming and outgoing correspondence
    • Ensure incoming correspondence is submitted to the relevant recipient.
    • Ensure outgoing correspondence is transmitted to the intended recipient.
Requirements
  • Completion of appropriate technical or other training relevant to the position with a minimum two (2) years work experience.
  • Ability to communicate effectively with colleagues.
  • Ability to operate as an effective team member.
  • Entry level oral and written communication skills.
  • Basic level in computer skills with adequate knowledge in Microsoft Office.

2. Technical Assistant Executive Support Division Office of The Secretary-General - Jakarta
General Qualifications
  • Computer literacy and proficiency in the use of Microsoft Office tools; ability to multi-task, work long and irregular hours, and perform tasks outside the usual job scope; ability to function effectively, independently and as part of a team; and a willingness to travel frequently on short notice.
Remuneration
  • Successful candidate will be offered the post with a probation period of six months and monthly salary commensurate with his/her personal qualifications starting from IDR 3,500,000.
Duties and Responsibilities
  • Provide administration and programme support to the Senior Officer, particularly in relation to administration, research, public outreach and engagement activities;
  • Assist with the preparation of memoranda, research briefs, talking points, meeting reports;
  • Assist in the development of administrative processes within the Division;
  • Maintain relationships with divisions in ASEC, and external partners;
  • Assist with the coordination of meetings, events and initiatives;
  • Maintain records and ensure appropriate levels of access and confidentiality;
  • Provide support to other team members on administrative policies and procedures as appropriate.
Requirements
  • Bachelors degree in political science, international relations, business, public policy, social science or other related fields from a reputable university;
  • Minimum two (2) years of work experience in a related field;
  • Demonstrated ability to plan and organize tasks and work flows
  • Ability to work under pressure and adhere to deadlines;
  • Good oral and written communication skill;
  • Strong interpersonal skills;

1. Messenger/Dispatch Officer

Duties and Responsibilities
  • Collects and deliver mails, pouches and other communications forms to the post office, government agencies and other institutions.
  • Sorts, deliver and pick up mail from various offices on the premises at regular intervals. Keep records as required.
  • Packs material received for dispatch, affixed labels, inserts material in envelopes and franks outgoing mails.
  • Operate photocopy and duplicate machines.
  • Performs other duties as required.
Requirements
  • Junior High School graduates with at least two years of experiences performing messenger function in government or international organisation.
  • Ability to communicate effectively with colleagues.
  • Ability to operate as an effective team member.
  • Entry level oral and written communication skills.
  • Basic level in computer skills with adequate knowledge in Microsoft Office.

2. Secretaries

Duties and Responsibilities
The Secretary’s duties will cover, but not limited to, the following:
  • Maintaining record of document flow.
  • Arranging Supervisor’s schedules and activities for appointments, meetings,and other events.
  • Providing administrative support for other staff who are going for missions (arranging itinerary, hotel reservation, and document preparation).
  • Coordinating with other staff concerned for filling system.
  • Checking necessary follow up actions in relation to the agenda of the Directorate/Division/Supervisor.
  • Acting as supporting staff in servicing meetings organised by the ASEAN Secretariat.
  • Consolidating papers from other Directorates/Divisions when necessary.
  • The Secretary shall also be required to perform other duties as assigned by higher authorities.
Requirements
  • We are seeking qualified candidates with the following qualifications:
  • Secretarial Diploma (D-III) from reputable Secretarial Academy.
  • Minimum one year of experience in secretarial, clerical, and administrative support services.
  • Ability to organise data and routine correspondence is required.
General Qualifications
  • Good English language skills (written and oral).
  • Computer literate and proficient in Microsoft Office tools.
  • Able to work independently as well as in a team in a multicultural environment.
  • Able to multi-task and willing to work irregular and long hours.

3. Communications Officer for AICHR Support Unit
Duties and Responsibilities
  • Perform tasks as the Communications Officer for the ASEAN Intergovernmental Commission on Human Rights (AICHR)
    • Function as the developer and webmaster for AICHR’s regional website;
    • Provide assistance and technical knowledge sharing with Member State on setting up national website on AICHR
    • Perform daily news monitoring and report on activities related to AICHR and human rights nationally, regionally and internationally;
    • Provide analysis and synthesis of human rights development in the region and internationally
    • Draft public information materials such as AICHR’s press releases, booklets, fact sheets, presentations and other forms of information dissemination;
    • Develop communication strategies for AICHR and human rights;
    • Maintain and manage the AICHR database, information system, reports and resources.
  • Provide technical advice, recommendations and administrative support
    • Conduct collation, research and analysis development on issues related to human rights
    • Assist in the development of projects and programmes;
    • Compile relevant documents for the meetings of AICHR and any other meetings as requested;
    • Coordinate meeting logistics with the host country;
    • Coordinate the follow‐up actions and decisions.
  • Facilitate communication and cooperation among ASEAN Member States and other relevant stakeholders.
    • Represent the ASEAN Secretariat and serve as a resource person when needed;
    • Draft and summarize reports, prepare briefing notes/talking points, speeches, moderate discussions and deliver presentations.
    • Any other matters as directed by the Division or Directorate.
Requirements
  • Bachelor degree, or possibly advanced degree, in social sciences, development studies, international relations, communications or an appropriate related field or discipline with a minimum five (5) year relevant work experience in a technical role. Human rights knowledge and experience is required.
  • Technical skills and knowledge in the relevant area or the demonstrated ability to quickly acquire them.
  • Demonstrated ability to plan and organise tasks and work flows, with proven ability for accuracy under pressure and adherence to deadlines.

4. Technical Officer Human Resources
Duties and Responsibilities
  • Provide technical advice and administrative support to Human Resources (HR) day-to-day operational, particularly to HR related matters, including in providing regular reporting on ASEC recruitment status to ASEAN Member States;
  • Facilitate and conduct the recruitment and selection process for new staff recruitment:
    • Manage recruitment and selection process (developing advertisement, short listing, and preparing interview, draft report of the recruitment and selection result/activities).
    • Prepare advertisement, test and interview: test material, interview panel, interview documents, etc;
    • Conduct reference check to validate, clarify or add to information given by applicants;
    • Assist in selection activities;
    • Assist the new staff on induction programme;
Requirements
  • At least Bachelor degree in Human Resources or an appropriate related field or discipline.
  • A minimum five (5) years relevant work experience in a related technical expertise role.

Requirements

  • Proven excellence in written and spoken English language, notwithstanding the use of local language may be required when interacting with the local members of the media, partners and stakeholders;
  • Knowledge of website management, social media platforms and photography; as well as that of the use of modern audio-, video- and photo-editing technologies;

Requirements
